AI Governance Policy - Full
1. Purpose
This policy establishes the principles, responsibilities, and standards for the ethical, responsible, and effective use of Artificial Intelligence (AI) in the development, delivery, and support of our educational materials. The goal is to ensure that AI-driven tools and processes align with the company’s mission to enhance learning, respect the rights of educators and students, and comply with legal and regulatory requirements.
2. Scope
All AI systems, models, and tools developed, licensed, or deployed by the company. This includes employees, contractors, and partners who design, implement, or use AI technologies on behalf of the company, as well as educational institutions, educators, and learners who interact with AI-supported products.
3. Guiding Principles
3.1 Ethical Use
AI systems will be designed and deployed in ways that respect student well-being and allow parents to support their child’s educational journey by identifying and advising them of the child’s current curriculum. The company will not use AI to manipulate, exploit, or unfairly influence learners.
3.2 Fairness & Non-Discrimination
AI models will be monitored for bias to ensure equitable treatment across gender, race, culture, language, ability, and socioeconomic status. Where bias is detected, corrective measures will be taken promptly.
3.3 Transparency
Educators and schools will receive clear information on when and how AI is being used in products. Users will be able to understand AI-generated recommendations and outputs in plain language.
3.4 Privacy & Data Protection
Student and teacher data will be collected, stored, and used in compliance with applicable data protection laws. AI systems will only use data necessary for educational purposes, with strong safeguards against misuse.
3.5 Accountability & Human Oversight
Final accountability for AI-assisted decisions rests with human educators and the company, not the AI system. A governance committee will oversee AI risks, incidents, and compliance.
3.6 Quality & Reliability
AI outputs will be accurate to the best of our knowledge and aligned with curriculum standards. Systems will undergo regular testing, auditing, and validation to maintain educational integrity and alignment.
4. Roles & Responsibilities
- Senior Leadership — Ensure AI strategy aligns with company mission and values.
- AI Governance Function — Oversee AI ethics, compliance, risk management, and continuous improvement.
- Product Development Teams — Design, test, and monitor AI systems in line with this policy.
- Data Protection Officer (DPO) — Safeguard compliance with privacy and data security laws.
- Educators & Users — Provide feedback and report concerns about AI-driven products.
5. Risk Management
- Risk Assessments — All AI systems will undergo an ethical and technical risk assessment before release.
- Monitoring — Continuous monitoring for bias, misuse, and errors.
- Incident Response — Procedures in place for handling AI-related errors, breaches, or harmful outcomes.
- Third-Party Tools — Vendors must demonstrate compliance with equivalent AI governance standards.
6. Training & Awareness
Employees working with AI will receive training on ethics, privacy, and responsible use.
7. Compliance & Review
This policy will be reviewed annually or as required by changes in law, technology, or business needs.
